ScanNote® Mail
ScanNote Mail enables you to automatically distribute today's scanned post through e-mail to one or more recipients. ScanNote Mail converts scanned TIFF files (from scanner or copier) to OCR PDF files.
These files are e-mailed to the e-mail recipients, for instance, an inbox or a public folder.
ScanNote is a Windows application installed on a Windows XP or Vista PC. The application is a stand-alone application installed through a Windows installer.
Tabs
ScanNote Mail includes a feature for printing of tabs, which converts an e-mail address to a bar code. When you print the tabs, you must enter the e-mail address that you want to include in the bar code before it is printed.
You can also print out generic tabs inserted between each document.
Scanning
ScanNote does not include scanning features. Scanning is carried out by a separate scanner or copier to a specified network folder. Before scanning, the printed tabs are inserted before the documents, and today's post is then scanned to a TIFF file. The scanner must perform duplex scanning (print-out on both sides), if this is used in the documents. It may result in blank pages if duplex is not used, but they will later be removed by ScanNote. Lopsided pages caused by lopsided text or scanning errors will also be corrected in order to optimise appearance and OCR recognition.
OCR recognition
ScanNote Mail is started on a workstation. The application can monitor a folder or TIF files. If a file is stored in the folder, ScanNote Mail will open the file and convert documents to searchable PDF files and then e-mail the documents to the recipients indicated on the tabs.
